The Leads view is a filter of the Customers list that shows people who have shown interest but have not yet been invoiced. Use it as your daily call list when you are working inbound prospects.
Go to Customer Management > Leads in the sidebar. The Leads entry only appears if your shop has the Communications module enabled.
What counts as a lead: any customer record whose pipeline status is New, Contacted, or Qualified. Once they get an estimate, their status flips to Converted and they leave the Leads list. Once an invoice is created for them, they are marked Won. Payment is not required; creating the invoice is what marks the deal won.
How leads enter the system
- You add them directly with the + Add Customer button. New records default to status New.
- An unknown contact writes in via SMS, email, Messenger, Instagram, the chat widget, or the public Contact Form. These messages land in the Inbox as an Unknown Contact conversation; no customer record is created automatically. To turn one into a lead, open the conversation and click + Add to Customers. A modal opens with the contact info pre-filled. Confirm with Add as Lead. The lead source field is set automatically based on which channel the message came in on.
Columns on the leads list match the regular Customers list (name, phone, email, Vehicles, status) plus a Pipeline column showing the current stage as a colored badge: orange = New, blue = Contacted, purple = Qualified.
To move a lead forward, click the customer name to open their detail page. The colored Pipeline pill at the top of the page is clickable; it opens a small menu of the three pre-sale stages. New becomes Contacted after you reach out. Contacted becomes Qualified once you understand what they want and have an idea of budget. To turn a Qualified lead into a real opportunity, create an Estimate from the customer detail page. The customer's status flips to Converted and the Pipeline pill disappears from the page (it defers to the estimate's own lifecycle from that point forward). The customer also moves out of the Leads list and into the Estimated column on the Sales Pipeline board.
Won and Lost are set automatically: Won as soon as an invoice is created (either from their estimate, or directly for a customer who never had one), Lost when an estimate is closed as Lost on the Sales Pipeline board. You do not edit Won or Lost directly from the Leads list.
