Existing employee records are managed from the same Employee Directory used to add new ones.

Go to Employees > Employee List. The page lists every employee with their username, role, location(s), status, and last login.

Filter the directory by Role, Status, or Location from the dropdowns at the top of the page to find specific groups. For example Status = Inactive to review terminated employees, or Role = Installer to see hands-on technicians.

Only an owner can edit an owner's record, so if you are not an owner you will not see an Edit button on an owner's row. Nobody can change their own role, owners included; ask another owner to make that change.

To edit an existing employee

Click Edit on their row. The same form used at add-time opens with the current values. Leave the Password field blank to keep their current password unchanged. Changing the Role surfaces a yellow prompt asking whether to also reset their permissions to that role's defaults. Check it for a clean slate. Leave it unchecked to keep the access they already have, which means the role label changes while what they can actually do does not; after saving you get a reminder saying exactly that, and they are marked Custom on the Employee List. If the new role is meant to change what they can do, open their permission sheet afterwards and set it there.

Trusted Mobile Devices on the edit page

The edit page also lists every paired phone for that employee under Trusted Mobile Devices. Each row has the device name, last active date, and a Revoke button. Revoke a device if a phone is lost, replaced, or no longer in use. Only an owner can revoke an owner's device or reset an owner's Quick-switch PIN. The device cannot reach the mobile app again until it is paired with a fresh code.

To deactivate or lock an employee

Open their record and change Status

  • Active: can sign in.
  • Inactive: cannot sign in. The standard "no longer working here" state. History (time clock, sales attribution, audit log) stays linked.
  • Locked: cannot sign in. Used when access is being investigated (security audit, dispute, leave of absence) and is intended to be temporary.

Both Inactive and Locked block sign-in. There is no hard delete; even an Inactive employee's record is retained so historical data (sales they made, work orders they touched, audit entries) stays attributable.

Save changes.

To unlock or reactivate, change Status back to Active and Save.
