The Invoice Transaction Report lists every invoice in a period, grouped by type, with the dollar breakdown for each one. It is the report to reach for when you want a straight transaction-by-transaction record of what was sold.

Go to Reports > Accounting > Invoice Transaction Report.

Invoices are grouped into Retail, Dealer, Repair, Warranty, and Refund, with a count and column subtotals under each group and a grand total at the bottom. Each row shows the date, invoice number, status, employee, customer, and vehicle, followed by the money columns: Materials, Labor, Misc, SubTotal, Discount, Tax, and Total.

The money columns foot: Materials plus Labor plus Misc equals SubTotal, and SubTotal minus Discount plus Tax equals Total. Misc is anything on the invoice that is not a product or labor line, such as a shop-supply or surcharge fee.

Filters at the top of the page

  • Date range: presets or a custom start and end.
  • Employee: a checkbox dropdown, all employees selected by default. Uncheck to focus on one or a few.
  • Statuses: a checkbox dropdown, Posted by default. Add Paid, Partial, or Pending to widen what counts.
  • Types: a checkbox dropdown, all types selected by default. Uncheck any to leave a type out.

Tick the boxes you want in a dropdown, then press Apply.

The report counts invoices by their posted date, whether or not the money has arrived yet. Estimates and work orders are not transactions and never appear.

Use this report to

  • Get a clean list of every sale in a day, week, or month for reconciling against another system or your books.
  • See the retail, dealer, warranty, and refund totals side by side.
  • Review one salesperson's transactions by narrowing the Employee filter.

Export to CSV or PDF from the buttons at the top, star it as a favorite to keep your filters, or add it to your End of Day package.
