Reports > Accounting > Manifold Pay Settlement (formerly Card Settlement) compares what your Manifold Pay counter terminal settled with the card payments recorded in Manifold. Use it to close out card sales at the end of the day. The report opens on Today; pick another range at the top.
If you also take payments by pay link, the report has a second section, Pay by link, below the counter terminal. Pay links and online estimate deposits run on a separate Virtual Terminal that keeps its own batches, so they are matched in their own section the same way. The totals at the top then cover both, which is the figure to compare with your bank deposits. Refunds of pay-link payments run on the counter terminal, so they appear in the counter terminal's section.
Pick a date range. The report groups by terminal batch, not by date. A batch is the set of sales the terminal settles together at Batch Out, usually the end of the day, so a sale run late can land in the next day's batch.
At the top, three totals: Terminal (Processor), POS Card Payments, and Variance, which reads Balanced when the two agree.
Each batch shows whether it is Settled or still Open, and whether it is Balanced or has a Variance, with:
- A summary of the terminal side, the POS side, and the difference
- Every terminal transaction with its time, type, card and amount. A check mark and an invoice link mean it matched a payment in Manifold. "Terminal only" means the terminal ran it but no payment in Manifold matches, for example a sale keyed straight into the terminal.
- "POS payments the processor did not report in this period": Manifold Pay payments in Manifold with no matching terminal transaction
Recording a Terminal only sale A Terminal only sale is money the terminal took that is not on any invoice: for example, a charge the terminal approved after Manifold had stopped waiting for it, or a sale keyed straight into the terminal. To put it on the invoice it belongs to, click "Record on an invoice" under the Terminal only label, type the invoice number, and click Record. The sale is added to that invoice as a Manifold Pay payment, with the amount and card the terminal reported, and the report then shows it as matched. It is refused for an estimate (create the invoice first), for an invoice with no balance or less due than the sale, and for a sale that is already recorded. You need permission to create and edit invoices to see the button. Only record a sale on an invoice when you know that customer paid it.
Voided transactions are left out on both sides, because they never settle.
What it does not cover
- External Card and Authorize.net payments are not included.
- A refund issued with the Issue Refund button on an invoice may not match its terminal transaction and can show as a variance.
If Manifold Pay is not connected, the report says no Manifold Pay terminal is connected and shows only the POS side.
