The Credit Card Surcharge feature adds a percentage fee to invoices paid by credit card, so you can pass card processing costs back to the customer instead of absorbing them on every sale. When turned on, the surcharge is automatically applied whenever Credit Card is selected as the payment method.
Go to Settings > Invoicing and scroll to the Credit Card Surcharge section.
Four fields
- Enable Credit Card Surcharge: master toggle. The rate, label, and tax fields are hidden until this is on.
- Label: the line item name customers see on their receipt and invoice (e.g. "Credit Card Surcharge", "Card Processing Fee", "Convenience Fee"). Pick wording that matches your shop's voice - some shops use plain language, others use a more formal label.
- Credit Card Surcharge Taxable: turn on if your state or jurisdiction requires sales tax to be charged on the surcharge itself. When on, tax is calculated against the surcharge amount in addition to the underlying invoice tax. Check with your CPA if you're not sure.
- Rate (%): the percentage charged on top of the invoice when paying by credit card. Enter as a percent (e.g. "3.50" for 3.5%). Most shops set this to roughly match their merchant processor's rate so the surcharge breaks even on fees.
Click "Save" when done.
When it's on
- Picking Credit Card in the Collect Payment panel shows a live preview of the surcharge, any tax on it, and the grossed-up "Charge to Card" total. The surcharge rides on top of the payment, so the customer's card is billed more than the invoice balance; the invoice balance itself does not change
- The receipt and invoice PDF show the surcharge as a separate line under the subtotal
- If you set it to taxable, you'll also see a "Tax on Surcharge" line
For tracking how much you've collected, run Reports > Accounting > CC Surcharge Collected.
Legal note: card surcharges are legal in most U.S. states but a few prohibit them or cap the rate. Check your state's rules and confirm your merchant agreement allows surcharging before enabling. Most major networks (Visa, Mastercard) require you to register with them before surcharging and to disclose the surcharge to customers before the transaction.
Refunds: when you refund a credit card payment that had a surcharge applied, the refund modal shows a "With Surcharge" column so you can refund the full amount the customer paid (including the surcharge and any tax on it).
