Outstanding Balances shows every invoice with money still owed. It is your accounts receivable in one place. Unlike most reports it does not take a date range; it is always a live snapshot of right now.

Go to Reports > Accounting > Outstanding Balances.

Two summary cards at the top: Total Outstanding (the full dollar amount your shop is owed, rendered in red) and Open Invoices (the count of invoices still carrying a balance).

Below the cards is an Aging Buckets grid that splits the outstanding total into four standard windows:

  • Current (0-30 days) in green
  • 31-60 Days in amber
  • 61-90 Days in red
  • 90+ Days in red

This includes both retail and wholesale invoices. For a dealer-only aging view that also exposes per-dealer detail and ties into finance charges, use Reports > Wholesale > Dealer Aging / AR.

The Outstanding Invoices table below lists every invoice with a non-zero balance. Columns:

  • Invoice #: clickable to open the invoice
  • Customer / Dealer: clickable to the customer or the dealer account page
  • Type: customer, dealer, warranty, or repair
  • Total: original grand total of the invoice
  • Paid: amount applied to date
  • Balance Due: what is still owed, bold
  • Days: days outstanding, color-coded amber after 30 and red after 60

Click an invoice number to open the invoice and use the Collect Payment panel to apply a payment in the normal way (see the article on recording a payment). There is no in-platform "send reminder" or "write off" action today; reminders are something your shop handles by phone, email, or SMS, and a write-off is done as a manual void or credit on the source invoice.

Use this report for collections calls, total AR exposure snapshots, and reconciliation against the Accounts Receivable page (which is a flat list of AR records, while this report is an invoice-by-invoice rollup with aging math).

Use Export CSV to pull the data into a spreadsheet, or Print to file it.
