Sales reminders put a short hint in front of the salesperson at the moment an item goes on an invoice. Set one on a category or on a product, and whenever a matching item is added, the reminder appears right under that line. A common example: every set of speakers reminds staff to offer sound deadening, with a one-click button to add your go-to deadener.
The reminder never interrupts the sale. There is no pop-up and nothing to click through: staff keep typing or scanning, and the hint sits next to the item it is about. It is for staff only. It never appears on the printed invoice, the emailed PDF, or anything else the customer sees.
Setting a reminder on a category
- Go to Inventory > Categories.
- Click Edit on the category, or use + New Category to create one.
- Under Sales reminder, type the Reminder message (up to 300 characters). Optionally pick a Suggested product.
- Click Save (or Create Category).
The category then shows a 💡 Reminder badge; hover over it to read the message. A category reminder covers every product in that category and in its subcategories, including products you add later. This is usually the easiest way to cover a whole product line.
Setting a reminder on a product
- Open the product and click Edit Product.
- Scroll to the Sales Reminder section and fill in the Reminder message and, optionally, the Suggested product.
- Click Save Changes.
The Sales Reminder section tells you what the product shows when it has no reminder of its own, for example "No reminder of its own, so it shows the Speakers category reminder". The product's detail page also shows the reminder a salesperson will see and where it comes from.
Which reminder shows
The closest one wins: a product's own reminder beats its subcategory's, which beats the parent category's. The winning reminder shows as a whole, so a product reminder does not borrow its category's suggested product.
To stop a product from showing its category's reminder, tick "Don't show a reminder for this item" in its Sales Reminder section. Its own message and suggestion are kept, so unticking the box brings them back.
Who can set reminders: anyone with the Create & edit products permission, which owners and store managers have by default.
What staff see on the invoice
When a product with a reminder is added, whether by search, barcode scan, or a package, a slim strip appears under the line with a brief highlight. It shows the message and, when there is one, "Suggested:" with the product name and an Add button.
- Add puts the suggested product on the invoice at its normal price (the dealer price on a dealer invoice), with the usual discount and serial number rules. For a product sold by the foot or square foot, Add loads it into the add row so you can type the amount.
- The reminder stays quiet while the suggested product is already on the invoice. Remove that line and the reminder comes back.
- The × on the right closes the reminder while you are on the page.
- Two products that share a reminder show it once.
Where reminders show: invoices, estimates, repair invoices, and dealer invoices. They never show on warranty invoices, and they do not show in the mobile bay's Add material screen.
When you reopen a saved invoice, repair, or dealer invoice to edit it, the lines already on it stay quiet; only items you add then show a reminder. A saved estimate is different: its reminders come back each time you open it, since the customer may still be deciding.
Seeing whether it works
The Sales Reminder Results report, under Reports > Salesperson, shows how often each reminder was shown on a sale, how often the suggested item was added, and the revenue those items brought in. See How to Use the Sales Reminder Results Report.
