When a customer wants to buy something you do not stock yet, you can sell it on the spot without stopping to set up a product first. The item goes to the Off-Catalog Queue to be turned into a real product later, and the invoice cannot be finalized until that happens.

To add an off-catalog item

  1. On a new or open invoice, estimate, or work order, click "+ Off-Catalog" at the top of the Line Items section.
  2. Enter a Description and Price. Quantity defaults to 1. You can also enter a Cost if you know it, but that is optional.
  3. Click Add. The line shows a purple "Off-Catalog" badge.

You can take full payment as usual. The invoice moves to Paid, not Posted, because an off-catalog item has to be set up in inventory before the sale can be finalized. If you try to post it first, the platform keeps it at Paid and points you to the Off-Catalog Queue.

What happens next: the item appears in the Off-Catalog Queue under Inventory for a manager to turn into a real product. Once it is set up and the stock is received, you finish the sale with Post at Pickup on the invoice.

Description and Price are the only fields you need at the counter. Everything else is filled in when the item is resolved. Off-catalog items are not available on warranty invoices.
