The schedule in 1sixty8 Manifold can show, at a glance, which completed jobs still need a follow-up call and which customers have already been reached. This helps your team make sure every customer is contacted after their installation, and it prevents two people from calling the same customer or nobody calling at all.

How it works

When a job is completed, its appointment shows an amber phone icon on the calendar and on the appointment detail page. That icon means the customer is awaiting a callback. Once someone reaches out, the icon turns into a green check, showing the customer has been contacted. The icon sits in the corner of the appointment and does not change the appointment's normal color, so you can still see its status at a glance.

How a job becomes completed

  1. Closing the job's work order marks its appointment completed automatically. This works whether the appointment was booked from the work order or from the invoice.
  2. For jobs that do not use a work order, open the appointment and click Mark Completed.

If a closed work order is reopened, the appointment returns to confirmed and the callback icon goes away, unless the customer was already contacted. A logged callback survives a reopen.

Three ways an appointment becomes contacted

  1. The automatic "your vehicle is ready" text sends, if you have that automation turned on under Settings then Automations. When the text actually goes out, the appointment flips to contacted on its own.
  2. You open the appointment and choose Called, Texted, or Other under Follow-up. Use this to log a phone call or a text you sent by hand.
  3. Marking it by hand also records the touch on the customer's activity timeline, attributed to whoever marked it. A logged phone call appears there as a call.

Undoing a mark

If an appointment was marked contacted by mistake, open it and click Undo Contacted. It returns to awaiting callback so it shows up again as needing a call.

What takes part

Any appointment that has been marked completed takes part in follow-up tracking, with or without a work order. Appointments that are still scheduled or confirmed never show the awaiting-callback icon, so upcoming jobs stay clean on the calendar.

The legend at the top of the calendar includes both follow-up markers, so anyone can tell what the icons mean.
