There are a few ways to open the booking form
- Service > New Installation (direct shortcut in the sidebar)
- Customer Management > New Consultation (direct shortcut)
- Service > Installation Calendar (or Customer Management > Consultation Calendar) and click the "+ New Installation" or "+ New Consultation" button at the top of the calendar
- The Scheduling calendar's "+ New Appointment" button when the All tab is selected
Fill in
- Start Date and Start Time (date picker + time picker)
- End Date and End Time. End Date defaults to the Start Date, and the End Time is the time on that End Date. For a job that runs into another day, set the End Date to the later day and the End Time to when it finishes (for example, start 9:00 AM today, end 12:30 PM tomorrow). Leave End Time blank to use the default duration set at Settings > Scheduling.
- All-day checkbox (when checked, the date pickers replace the time pickers)
- Resource (required): pick from the bays or salespeople you have configured
- Customer: search and select (or for a consultation, enter walk-in contact info)
- Link to an existing invoice or work order (optional, when launching from those records)
- Notes
If you opened the form from an Installation entry point, the type is set to Installation; from a Consultation entry point, the type is Consultation. From the generic "+ New Appointment" button, you choose the type with the radio cards at the top of the form.
Scheduling straight from an invoice or work order
An invoice or work order that is not yet scheduled has a Schedule button (on a work order it reads "Schedule Install"). Clicking it opens the calendar in scheduling mode: a banner names the record at the top, and you drag across an open time slot on the bay or salesperson you want. A confirmation card then appears with the start time, an end-time picker to size the slot, and the resource; adjust if needed and confirm. The appointment is created and linked back to that record. This is the same one-motion flow used when dragging unscheduled invoices from the sidebar.
The calendar colors each appointment by how far along that job is, not by which resource it sits on. See "What the Colors on the Installation Calendar Mean" for the full legend. To reschedule, open the appointment and click Reschedule. The calendar jumps to that appointment's day with it highlighted in amber so it is easy to spot, then you drag it to a new open slot and confirm. You can also drag a same-day appointment directly on the calendar to move it. A multi-day appointment shows on every day it spans (from its start time on the first day through its end time on the last day), so the resource is clearly blocked the whole time; multi-day appointments are moved or resized from the appointment's Edit screen rather than by dragging. The system prevents double-booking on the same resource across the full span.
**One appointment per job.** An invoice or work order holds one appointment at a time. That is why the Schedule button disappears once a job is booked, and why a booked invoice drops off the Unscheduled panel. If you reach the booking form another way and try to book a job that already has an appointment, the form stops you and takes you to the existing appointment instead. To move a booked job, open its appointment and click Reschedule rather than booking a second one.
This is a different rule from resource double-booking above. That one is about two jobs wanting the same bay at the same time. This one is about one job wanting two appointments.
Business hours, default duration, and working days can be configured in Settings > Scheduling.
