Every appointment on the schedule is colored to show where that job stands. The color is about the job's progress, not about which bay or salesperson it belongs to. The legend across the top of the calendar lists them all.

What each color means

  • Blue: scheduled. The appointment is booked and nothing has happened yet.
  • Green: confirmed. Someone has confirmed the appointment with the customer.
  • Amber: the vehicle has been dropped off and is in your building right now.
  • Gray: the job is finished but its invoice has not been posted.
  • Purple: the invoice for this job has been posted.
  • Dark maroon: the customer did not show up.

When more than one could apply, the calendar shows the one furthest along. A job whose invoice has been posted shows purple even if someone marked the vehicle dropped off earlier that day. A no-show always shows as a no-show.

Cancelled appointments do not appear on the calendar at all. They are removed from the grid rather than colored, so the day only shows work that is still real. You can still open a cancelled appointment from the customer's record.

Why gray is the one to watch

Gray means the work is done but nobody posted the invoice. An invoice that is not posted does not count on the Salesperson Profitability or Installer Profitability reports, so nobody gets credited for that job. If you see gray on a day that has finished, open the appointment, follow it to the invoice, and post it.

Marking a vehicle as dropped off

This is for installations only, since a consultation has no vehicle to leave. There are two ways:

  1. On the day view of the calendar, click the small car button in the corner of the appointment. It turns amber straight away without leaving the page. This is the quick one for the front counter with the customer standing there.
  2. Open the appointment and click Vehicle Dropped Off.

The appointment page shows when it was dropped off and by whom. To undo a mark made by mistake, open the appointment and click Undo Drop-Off.

An appointment stops showing amber once the job is completed, so cars that have already gone home do not keep taking up space in the "here now" color.

The Consultations tab does not show the drop-off entry in its legend and does not offer the button, because the marker only applies to installations.
