Once you have turned on Dealer Finance Charges (see the article on configuring them), the platform handles the actual assessment automatically. This article covers when charges fire, what gets generated, what the dealer sees, and how to preview before the run.
When charges run
Once per month, on the 1st, in the early morning. The system finds every dealer with an unpaid balance overdue past your configured grace period.
What gets generated
For each qualifying dealer, the system creates a new dealer invoice with a single Misc line labelled "Finance charge - [Month Year]" and the calculated amount (rate × past-due balance, with the configured minimum applied). The invoice posts to the dealer's account and is visible on their dealer detail page immediately.
Compounding is off: finance-charge invoices themselves are excluded from next month's past-due calculation. Already-charged months are not re-assessed (idempotent: if the cron runs a second time, no duplicate charges).
What the dealer sees
- The new invoice appears on the dealer detail page and in their AR balance.
- The next statement you send shows the charge as its own line, with your Disclosure Text printed below the totals.
- If "Email the dealer" is on in the settings, the dealer's billing contact receives an email the same day the charge fires, with the finance-charge invoice attached as PDF.
What you see
- If "Notify shop staff" is on, the bell icon shows the run summary (count of dealers charged, total dollar amount). The persistent banner also surfaces it.
- The new invoices show up in the Dealer Aging / AR report (Reports > Wholesale > Dealer Aging / AR) under each dealer's row.
To preview who will be charged
Run Reports > Wholesale > Dealer Aging / AR a day or two before the 1st. Any dealer with a balance past the grace period will be on the list (subject to per-dealer Exempt flags and the Minimum Charge floor).
Per-dealer Exempt and Rate Override flags are honored on every run. A dealer flagged Exempt is never charged; a dealer with a Rate Override gets that rate instead of the tenant default.
