Dealer Finance Charges automatically assess a monthly fee on dealers whose invoices are past due. This page is where you set the policy; the article on How Dealer Finance Charges Are Assessed covers when and how they fire.
Go to Settings > Wholesale and find the Past-Due Finance Charges section.
Six fields
- Default Monthly Rate: the percentage charged each month on past-due balances. Typical is 1.5%. Enter as a percent (e.g. "1.5"). Leave at 0 to disable shop-wide.
- Grace Period (days past due): how many days past the invoice due date before a balance starts accruing charges. Common values are 30, 45, or 60 days. Match what your dealer terms say. (Platform default is 10 days.)
- Minimum Charge to Generate: skip dealers whose calculated charge falls below this dollar amount. Stops you from invoicing a dealer 37 cents in finance charges.
- Disclosure Text: optional text printed on dealer statements explaining the charge policy. Leave blank and the platform generates a default disclosure based on your rate and grace period.
- Email the dealer (with the new invoice): when on, the dealer's billing contact gets an email with the new finance-charge invoice attached on the day charges are assessed.
- Notify shop staff (bell + banner): when on, shop staff get an in-app notification listing how many dealers were charged and the total amount.
Click Save to apply.
Per-dealer overrides
On any dealer's record (Wholesale > [Dealer] > Edit) there is a Finance Charges section with two fields:
- Rate Override (% per month): set a different rate for this specific dealer; leave blank to use the tenant default.
- Exempt from finance charges: skip this dealer entirely.
Use the override for VIP accounts you do not want to charge, or for accounts that negotiated a different rate.
Heads-up: turning this on is a real business action. If you have dealers who have been paying late without consequence, suddenly assessing finance charges is a relationship event. Most shops announce the policy and the start date before the first charge runs. The Disclosure Text field is a good place to make the policy permanent and visible on every statement going forward.
