A dealer invoice bills a wholesale account, not a retail customer. The Bill To on the printed or emailed PDF uses the dealer's company name, billing contact, and address.
To create one
- Open the dealer's detail page from Wholesale.
- Click "+ Dealer Invoice". The dealer is pre-filled on the form.
- Optionally enter the Car Owner Name (the end customer whose vehicle the work is for) and Dealer PO # (the dealer's purchase order reference). Both print on the invoice.
- If the work is on a vehicle, enter or scan the VIN in the VIN field and click "Decode". Year, make, and model populate automatically.
- Add line items the same way you would on a customer invoice:
- Product: search by name or SKU; quantity and price auto-fill from catalog
- Labor: enter description, hours, and rate
- Misc: flat fee or percentage charge
- Discount: fixed amount or percentage off
- Click the green button. It reads "Save Invoice" when no payments are added, "Collect Payment" when payments are added, and "Post Invoice" only when the payments cover the total and "Post invoice now" is checked.
The dealer is required on a dealer-typed invoice. If you remove the selected dealer, the save will fail until you pick one.
If the dealer is flagged tax-exempt, the PDF Bill To shows "Tax Exempt (Cert #XXXX)" using the certificate ID from the dealer's record. See How to Manage Dealer Accounts for the dealer setup.
Dealer invoices appear in the standard Invoicing list. On the mixed view (default), the Bill To column shows the dealer's company name on dealer-typed rows. When you filter the list with ?type=dealer (the Wholesale > Dealer Invoices view), the column is labelled Dealer.
Scheduling a dealer install: a dealer invoice goes on the calendar the same way a standard invoice does. Open the invoice and click Schedule, or drag it from the Unscheduled panel on the calendar page. Warranty and repair invoices work differently and schedule through a work order instead.
