A part number reaches you written more than one way. Your SKU might be AP59BIT while a vendor's price sheet calls the same amp RFAP59BIT, or your old system used its own code. Also Known As lets one product answer to all of them.

What an alias does

Once a part number is an alias of a product

  • Searching for it finds the product wherever you search for products: adding a line to an invoice, purchase order or package, the Products and Stock Levels lists, the search bar at the top, Inventory Lookup on your phone, and the bay materials search.
  • A price sheet row with that part number matches the product without asking, and the review screen says "by alias".

Dashes, dots, spaces and capitals never matter, so RF-AP5.9BIT and rfap59bit are the same alias.

Adding one by hand

Open the product from Point of Sale > Inventory > Products. In Product Details, the Also Known As row lists its aliases. Type another part number in the box and click Add alias. You need the Create & edit products permission.

Added for you from price sheets

When a price sheet row says "Looks like" or "Several match" and you pick the product it means, importing the sheet saves that row's part number as an alias. The vendor's next sheet then matches it without asking you again. Undoing the import removes the aliases it added.

One part number, one product

An alias can belong to only one product, and it cannot be another product's SKU. If you try, it is refused and the message names the product that already has it. If a price sheet row you matched by hand runs into this, the price still imports, and the message after the import says the alias could not be saved.

The other way round is allowed. If you give a new product a SKU that is already an alias of another product, the SKU box warns you but lets you save. From then on, price sheets match that part number to the product whose SKU it is.

Seeing and removing aliases

Hover over an alias to see where it came from: added by hand or from a price sheet, the vendor, the date, and who added it. Click the × on it to remove it. Searches and price sheets stop finding the product by that part number straight away.

Aliases belong to each store. If you run more than one store, an alias added at one does not copy to the others.
