Tech schedules are part of Team Hub. They record when each tech works and when they are off, so the Scheduling calendar can show who is in each day and Find a time can offer openings a tech can actually take. Hours belong to the tech, not the bay, since techs move between bays.

Turn it on

Only the owner can turn it on. Go to Settings, find the Team Hub section, and click Tech Schedules. Switch on "Turn on tech schedules" and click Save settings. While it is off, scheduling works exactly as before.

Tech schedules work best with the Service module, because the calendar learns which techs are already on a job from each work order's technician list. Without it, the calendar can still show who is in, but not who is busy.

Store hours

Every tech starts on the store hours: the Scheduling Start, Scheduling End and Business Days you set in Settings > Scheduling. The settings page shows them for reference.

Who is on the schedule

Managers open Team Hub > Tech Schedules. Installers, installation managers and anyone who has ever been on a work order crew are on the schedule automatically. Use "Add someone to the tech schedule" for anyone else, or "Take off the tech schedule" to remove someone.

Each tech's weekly hours

Under Weekly hours, each person either "Follows the store hours" or has "Own weekly hours". Pick Own weekly hours to set the days they work and a start and end time for each, then click Save hours. A day that is not ticked is a day off.

Time off

Techs ask for time off from their name menu (My Time Off) or the Time Off tile on the phone, and a manager approves it. A manager can also enter time off directly. See "Asking For and Approving Time Off".

On the calendar

  • The Day view shows a line above the bays, such as "2 of 3 techs working", counted against everyone on the tech schedule. It names who is off and why, including a tech's regular day off, and how many jobs nobody is assigned to yet. It goes by the schedule, not the time clock.
  • The Week view shows "2 of 3 working" under each day the store is open; hover over it to see who is off.
  • On a day the store is closed (Business Days in Settings > Scheduling), the Day view shades every bay and the line reads Closed.
  • When the calendar is filtered to one installer, the hours they are not working are shaded.
  • A bay with a Linked Employee (Settings > Scheduling) follows that tech's schedule: its hours are shaded whenever the tech is off, in every view and while you are scheduling a job, and the Week view marks the day. A bay with no one linked is always open, which suits a shared bay such as a fabrication bay.
  • Booking, moving or resizing an installation or quick visit on a linked bay while its tech is off, or while anyone on the job's work order is off, asks first, for example "Cy Smith (day off) is off during this time. Book it anyway?". Click OK to book it anyway, or Cancel to pick another time.
  • Each installation shows the techs on its work order.

Late alert

If you use the Time Clock, Tech Schedules can tell your managers when a tech has not clocked in. Set how many minutes after their start time to wait (15 to start). The alert goes once a day per tech, to everyone with the "Manage time clock and tech schedules" permission, and only for people who use the time clock. Approved time off moves the start: someone "In late until 10" is due at 10.

Scheduled vs. actual

When tech schedules are on, each timesheet under Team Hub > Time Clock shows a "Scheduled vs. actual" card: the hours each day the person was scheduled, the hours they worked, and the difference.

Who manages it

Owners and anyone with the "Manage time clock and tech schedules" permission (store managers by default) set hours and approve time off. Give it to anyone else from their permission sheet.
