Click + Discount above the line items on an invoice or estimate. Everyone who can write invoices sees it.
A standard discount
If your shop has set up standard discounts (Settings > Discounts), pick one under "Standard discount" and click Add. The name, amount and what it comes off are set by the shop, so you cannot change them on the invoice. The line says "Parts only" or "Labor only" under it when it does not cover the whole invoice.
A typed discount
Under "Or type one in", enter a description, pick $ or %, enter the amount, and click Add. A typed discount always comes off the whole invoice.
When a manager has to approve
You can add a discount on your own when
- it is a standard discount, you have the "Apply standard discounts" permission, and the discount is not set to Always needs manager approval; or
- it is a typed discount, you have the "Apply discounts" permission, and a percent is within your maximum discount percent.
Otherwise a Manager approval box opens. A manager steps up and approves it right there, with their 4-digit PIN or, on the "Username and password" tab, their username and password. The approver must hold the matching permission ("Apply standard discounts" for a standard discount, "Apply discounts" for a typed one, within their own maximum percent). Nobody can approve their own "Always" discount. Once approved, the line shows "Approved by" and the manager's name, and the saved invoice records who approved it and when.
Five wrong PINs or passwords lock approvals for five minutes, and the lockout is written to the security audit log (Settings > Security).
Editing later
A discount already on an invoice stays approved when someone edits the invoice, even someone without the permission. Removing a discount needs no approval; adding one again, or a different one, does. A percent discount stays approved when items change, even though its dollar amount moves.
On the invoice
Each discount gets its own red line in the totals, by name, with the percent when it is one: "Military Discount (5%) -$28.50". It shows on the invoice page, the printed and emailed invoice and estimate, and the customer's online estimate.
One standard discount per invoice unless your shop allows more; a birthday or anniversary special counts as one. See "Standard Discounts: Military, LEO, VIP and Your Other Discounts".
