Technicians can log the parts and materials they use on a job straight from their phone, and the items land on the job's invoice for the writer to review.
Before you start
- Your shop's Mobile Bay Mode must be Advanced (Settings > Work Orders). In Basic mode there is no Work tab, so there is no Add material button. See Understanding Bay Mode: Basic vs Advanced Work Orders.
- The technician needs the "Use mobile bay (scan & work WOs)" permission.
- The work order has to be linked to an invoice that is still Pending, meaning no payment has been taken on it yet.
Adding a material
- In the mobile bay, scan or look up the work order to open it.
- Go to the Work tab. Under Materials used, tap + Add material.
- Type at least two characters. The search looks at the SKU, the product name, the Invoice Display Name and the Description, and an exact SKU match is listed first.
- Each result shows the SKU in bold with the Invoice Display Name in gray under it, and the brand and price on the right. Tap the one you used.
- Enter the quantity and tap Add to invoice. Bulk products such as wire or deadening take whole units (feet, square feet), and the unit is shown next to the quantity.
The item then appears in the Materials used list on the work order.
What happens on the invoice The line is added to the linked invoice at the price the counter would charge: retail price, or dealer price on a dealer invoice when the product has one, with any running sale applied. It is marked "Added from bay by" followed by the technician's name, and the invoice shows a "Materials from bay - review pricing" flag so the writer can check it before posting. Saving the invoice clears the flag.
When it will not add
- The work order is closed or cancelled.
- No invoice is linked to the work order. Ask the writer to create or link one.
- The invoice has taken a payment or has been posted. Ask the writer to add the item at the counter.
