The time clock is part of Team Hub. Employees clock in when they start work and clock out when they leave, and you get their hours for each pay period. It tracks shifts, not jobs: the job timer on a work order (Start Job / Stop Job) is a separate thing.

Turn it on

Only the owner can change these settings. Go to Settings, find the Team Hub section, and click Time Clock. Switch on "Turn on the time clock", then choose where people can clock in. All three are switched on to start; switch off any you don't want:

  • A shared PIN station at the shop (a counter PC or a wall tablet; see How to Set Up a Time Clock Station)
  • Their own login on a computer
  • Their own login on a phone. The phone's location is recorded with each punch.

"Show a Break button" is switched on to start, so breaks are tracked; switch it off if you don't want a Break button. Breaks are unpaid and come off the hours.

Who uses the time clock

Only the people you check under "Who uses the time clock" can punch, get reminders and show on the hours report. Everyone starts unchecked. You can also check "Uses the time clock" on each employee's edit screen, and "Put new employees on the time clock when they're added" checks it for new hires.

Failsafes

  • Remind anyone still clocked in this many minutes after closing (default 30). This uses the store hours on your Company Profile, so set those first.
  • Close a shift that's still open after this many hours (default 16). The shift is marked "missed clock-out" and counts zero hours until a manager enters the real time. The employee is asked when they left the next time they punch.
  • Flag a break longer than this many minutes (default 90). The employee gets a reminder to end it.

Reminders are push notifications, so employees need the 1sixty8 Manifold app with notifications allowed.

Pay period and overtime

Pick Weekly, Every two weeks, Twice a month (1st-15th, 16th-end) or Monthly. For every two weeks, enter the first day of any past pay period. Set the day your work week starts, overtime after this many hours in a week (default 40) and, for states with daily overtime such as California, overtime after this many hours in a day. Overtime on the report is an estimate; your payroll provider is the authority on what's owed.

Shop location (for phone punches)

Enter the shop's latitude and longitude (or click "Use this device's location" while you're at the shop) and a radius (300 meters is about 1,000 feet). A phone punch farther away is flagged for review. It is never blocked.

Who manages it

The "Manage time clock and tech schedules" permission lets someone review and fix timesheets, approve corrections, lock pay periods and pair stations, and, when tech schedules are on, set techs' hours and approve time off. Store managers have it by default; give it to anyone else from their permission sheet. Nobody can edit their own time except the owner. Managers find the day-to-day page under Team Hub > Time Clock.

Late alert

If your shop also keeps tech schedules, managers can be told when a tech has not clocked in a set number of minutes after their scheduled start. It is set in Settings > Tech Schedules (see "How to Set Up Tech Schedules").
