When a dealer pays down their account, record it on the dealer's page so it lands on the right invoices and the receivables close.
Go to Wholesale, open the dealer, and find Open Receivables. Tick the invoices the payment is for (or the box in the header to select them all). The Settle Selected Invoices panel opens with the selected total.
Enter the Payment Amount and pick a Method. The methods are the same ones you see when taking a payment on an invoice:
- Cash, Check, Financing and EFT: enter a reference (check number, etc.) and the date, then click Apply Payment.
- External Card: a card you ran on another processor. If your shop asks for card details, enter the brand and last four. If you charge a card surcharge (Settings > Invoicing), the panel shows the surcharge and the Charge to Card total before you apply it, worked out invoice by invoice.
- Manifold Pay: runs the card on your terminal (shown only when a Manifold Pay terminal is connected). The button changes to Charge on Terminal. If you have more than one terminal, pick which one. The dealer taps, inserts or swipes, and the page updates when the card resolves; Cancel stops a charge that is still waiting. The terminal adds its own surcharge, if any, so no surcharge preview is shown.
How the money is spread: the payment goes to the oldest selected invoice first, then the next, until it runs out. An invoice the payment covers is marked paid in full; one it only partly covers stays open with the rest. A Manifold Pay charge is one charge on the dealer's card however many invoices it pays, and it can't be more than the selected invoices owe. For other methods, anything over the selected total is reported as unapplied.
Store credit, gift cards and Open are not offered here: a dealer pays down their account with money, and the invoices are already on account.
Voiding a payment: under Payment History on the dealer's page, click Void on the row. The amount goes back on the open receivable. Voiding a Manifold Pay charge voids it on the terminal that ran it and takes it off every invoice it paid in one step, so the card is not charged when the batch settles. A charge that has already settled, or a debit charge, can't be voided; use Issue Refund on each invoice instead. A Manifold Pay charge that paid several dealer invoices can only be voided from the dealer's page, not from one invoice.
Refunds: open the invoice and use Issue Refund. Each invoice refunds its own share of the payment.
On the Manifold Pay Settlement report, one dealer charge shows as one terminal transaction, listing every invoice it paid.
